Head of Admissions

St. Joseph's Institution International Ltd.

OVERVIEW

The Head of Admissions is responsible for implementing the Admission strategy as set by the Director to promote through the management of a team of Admissions staff and is required to maintain student enrolment and ensure the School maintains its prominent position within the International School market in Singapore.

KEY RESPONSIBILITIES

Management

  • Contribute to the development/evolution of the School’s Admission Policy by liaising with DACA to ensure Admissions strategic objectives are met, including recruitment and enrolment of qualified and appropriate candidates.
  • Contribute to the development/evolution of the Terms and Conditions Governing Enrolment and Admissions (Student Contract) through liaising with DACA to ensure admissions and enrolment requirements are clearly communicated to all current and prospective students.
  • Develop Admissions organisational strategies by contributing information, analysis, and recommendations to strategic thinking and direction, establishing functional objectives in line with the Division's strategic plan.
  • Process of continuous improvement by refining and improving the admissions infrastructure, systems and processes to deliver the organisational strategy and improve efficiency.
  • Work closely with the respective Schools to determine whether applicants meet the entry standards as per the Admissions policy.
  • Maintain a continuing flow of quality applicants to the school by analysing trends in enrolment and the international school landscape, leading activities to continue strategies that are effective, modifying strategies, and presenting new sales strategies for the school’s recruitment and admission activities.
  • Maximise the recruiting and admissions processing by evolving and maintaining an effective online application process and Admissions Management System to facilitate efficiencies of process and ensure all required data is accurately captured and recorded.
  • Work closely with the Marketing & Communications Office to develop and execute an effective Admissions programme that promotes positive relationships and reputation with the community (internal and external) and attracts prospective parents and students.

Staff Management & Development

  • Effectively manage the Admissions Team by communicating and demonstrating the school’s values, policies, and procedures; implementing recruitment, selection, orientation, training, coaching, counselling, disciplinary, and communication programs; planning, monitoring, appraising, and reviewing job contributions.
  • Complete Staff Appraisals and plan and schedule identified development opportunities. Maintain an accurate and up-to-date record of all Professional Development opportunities.
  • Continuous learning by ensuring job knowledge is current by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organisations.
  • Establish admissions operational strategies by evaluating trends; establishing critical measurements; determining production, productivity, quality, and customer-service strategies; designing systems; accumulating resources; resolving problems; implementing change.
  • Ensure that you and the team achieve the target growth and retention numbers in line with the annual budget ensuring the quality of accepted candidates meets or exceeds the schools’ standards.

Governance

  • Work with government departments to ensure compliance, keeping and maintaining accurate student records.
  • Maintain knowledge of MOE, CPE, EduTrust and ICA government requirements and ensure all policies are updated and staff are trained accordingly.
  • To be accountable for the various admissions reports required by the government agencies (e.g. Ministry of Education, Committee for Private Education) or External agencies and compliance with Singapore Law.
  • To develop, implement and conduct annual reviews of Admissions policies and practices to ensure full compliance with school policies and Government requirements.

Events

  • Promote the school by attending and participating in school conferences and school fairs.
  • Organise and host appropriate open house events to promote the whole school as well as targeted open house events by year group or school.
  • Promote the School and attract new students by maintaining effective working relationships with other international schools, working closely with the DACA, Marketing and Communications and Advancement Teams.

REQUIREMENTS

  • Excellent relationship-building and people management skills in order to effectively manage the admissions team and build relationships with members of the School community and other International Schools in Singapore.
  • Have a positive and passionate disposition.
  • Excellent communication and presentation skills with the ability to communicate across all levels of the School and the wider community.
  • Cultural awareness with the ability to relate to and work with individuals from a wide variety of cultural, racial and religious backgrounds.
  • The ability to be efficient, flexible and adaptable in a pressurised environment.
  • Have a disciplined approach to timekeeping and attendance.
  • Maintain a standard of personal presentation in keeping with the role.
  • Liaise with all team members working towards common goals.
  • The ability to work independently to be self-motivated, proactive and forward-thinking.

Education and Professional Qualifications

  • Relevant degree.
  • Experience in managing a hands-on customer-facing team.
  • At least 5 years of leadership and people management experience.
  • At least 5 years of experience in Admissions, preferably in an International School or university.
  • Desirable to be fluent in Mandarin, both oral and written.
  • Experienced user of school management systems (such as iSAMS, SIMS, etc.) and/or CRM systems and admissions systems (such as DocuSign, OpenApply, etc.).
  • Experienced user of the Google product suite.
