Our client, a well-known company is looking for candidates for the position of Executive, Business Division.
Job Description
He/ she monitors the hire of vessels, issues revenue invoices of charter hire, charterer expenses and other miscellaneous invoices. Perform timely data inputs, updates, retrieval, filing and documentation processing in accordance with company procedure. To Judge /self assess training needs and discuss with GM for the training requirement for continuous upgrade of aptitude as a part of PDCA.
Job Scope:
- Update Accrual Report for submission to Accounts trading invoices which are pending for endorsement
- Monitor the hire payment eg: Issue Debit Note for Hold Cleaning and other charterer's expenses and process Owner's Expenses-thru hire
- Collect AP quotation, and KNR cover quotation from owners for HRA transit and pass to charterer.
- Assist in Business Division day to day operation e.g. sending LOI, Review of CP recap, wordings checking and monitoring CP status, draft of charter party. Follow up on outstanding CP, Stevedor Damage etc
- Provides timely support and back-up in cross-team operations
- Assist General Manager to send documents to Owners and keep records
- Calculate off hire statement, issue revenue invoices on charter hire, charterer expenses and miscellaneous invoices as indicated in the contract agreement
- Other assigned ad-hoc duties eg: Set up video conference and skype and assist to sending documents and parcel
Additional Jobs to be done for Business Division 2 when requested from time to time
- Review monthly lube oil, Crew Internet expense, accrual list received from ship managers before circulating for approval.
- Updating fleet list in monthly basis with latest CP details and latest market value, update vessel movement in weekly basis and attend Operation meeting
- E-filling of every voyage and cargo documents
- Obtain more market information by research and submit for Management/ Division Head reference
- Process Ship Management Invoice (Funds), Owner's Invoice for Payment
- Collection and filling of BIMCO Guardcon contract, K&R insurance contracts etc and source for additional premium quotations from insurance company
- Assist Business Division 2 in credit application approval
- Getting quote from MSIG and HRA & keep record of addition premium that has to paid and to received from charterers
Requirement:
- Minimum Diploma or professional certificate in Shipping related discipline
- Analytical thinking, proactive and proficient in Excel functions
- Team player with a positive work attitude
