Administrator/Procurement officer

Asia Tunnelling & Construction Pte Ltd

As an Administration & Procurement Officer, you will play a crucial role in ensuring efficient operations within our organization. You will be responsible for managing administrative tasks and overseeing the procurement process to support our business needs.


Responsibilities:

  1. Administrative Duties:Manage office supplies and ensure availability of necessary materials.
    Coordinate office activities and operations to secure efficiency and compliance with company policies.
    Assist in organizing and maintaining files and records, both electronic and physical.
    Handle confidential information in a professional and discrete manner.
    Prepare and distribute correspondence, memos, letters, and forms.
  2. Procurement Responsibilities:Source, negotiate, and purchase goods and services as required.
    Evaluate vendors and suppliers, and maintain strong relationships.
    Review and process purchase orders.
    Track and report key functional metrics to reduce expenses and improve effectiveness.
    Collaborate with key stakeholders to ensure clarity of the specifications and expectations for purchased goods and services.
  3. Financial and Budget Management:Assist in monitoring expenses and controlling the budget for the procurement process. Ensure invoices are processed in a timely manner and resolve any discrepancies.
  4. Documentation and Reporting:Maintain accurate records of purchases, pricing, and other important data.
    Prepare and present reports, budgets, and expenditure summaries.
  5. Compliance and Policies:Ensure compliance with company policies and procedures as well as relevant legislation.
    Stay up-to-date with industry trends and market conditions.

Skills and Qualifications:

  • Proven experience as an Administration Officer, Procurement Officer, or similar role.
  • Knowledge of procurement processes, policies, and procedures.
  • Proficient in MS Office, with strong Excel skills.
  • Excellent organizational and multitasking abilities.
  • Strong communication and negotiation skills.
  • Attention to detail and problem-solving skills.

Additional Requirements:

  • Ability to work independently and as part of a team.
  • Proactive and self-motivated with a strong sense of ownership and accountability.
  • Ability to prioritize tasks and manage time efficiently.

Working Conditions:

  • Regular office hours (Monday to Friday), with occasional flexibility required to meet deadlines or handle urgent matters.
  • May require occasional travel for vendor meetings or conferences.
