Technology/Role/Department at Morgan Stanley

Overview

This role will be part of the Workforce Services (WS) department with the Enterprise Technology Services (ET&S) group. The program manager will be responsible for overseeing the creation of the operational framework, governance, event management, reporting and structure within the WS Asset Management function.

The Asset Management decommission and disposal function in WS is responsible for ensuring adherence to the firms updated policies and procedures, this includes but is not limited to ensuring adoption of the firms standard inventory tool globally for all off-net data bearing assets, adoption of firm shipping standards and creation of procedures and reporting in support of. Defining global reporting and structure as well as aligned Hiring.

The inventory function ensures adherence to firm tooling requirements and asset Lifecyle management globally, the role will have controls within, and across regions via desktop and/or field level validations. The main objective of the role is to ensure all data bearing assets within the region are accounted for via an offline inventory and any events to reuse or dispose of said assets are executed in compliance with the firm’s policies and procedures, and that asset records remain reconcilable at all times.

The successful candidate will build relationships across different regions and time zones to support the role and WS’s Risk agenda.


Job Responsibilities

  • Ensure regional WS adherence to Asset inventory policy and procedures
  • Program manage operational execution of WS Asset Management function within region.
  • Manage local disposal and shipping events. Prepare assets for disposal and/or secure shipping events

- Remove data bearing asset components (i.e. solid-state drives, hard drives, and other hardware declare data bearing)

- Create manifests by identifying assets unique identifiers such as serial number for both chassis and drives, monitors, etc. utilizing firmwide asset inventory tools

  • Report on Asset inventory within region and Shipping of assets to location for disposal
  • Ensure chain of custody records are being reconciled along the deco and disposal workflow. This includes but is not limited to the following, Service Now Request, Deco Tracker, Disk Tracker, Inventory systems, chain of custody records (e.g. certificates of destruction), etc.
  • Proactively validate and verify critical non-data center asset life cycle management policies, procedures and agreements for applicability and control strength.
  • Coordinate with teams across WS and ET&S to identify and document asset life cycle management risks
  • Liaise with Assessment, Entitlements, Reporting and Audit teams in delivery of program of firm and regulatory mandated programs.
  • Creation of global reporting on defined PM Asset management functions
  • Assist in the creation of operational structure, Hiring and recruiting
  • Run and/or own some programs within the stream
  • Participate in global team communications and meetings from a regional support standpoint (travelling where required)
  • Travel to conduct visits to various Morgan Stanley locations as required and other to local logistics vendor facilities

Skills

  • Excellent teamwork skills, capable of working effectively across a variety of IT and Business groups, across regions, roles and able to interact effectively with all management levels
  • Ability to switch context quickly and work on multiple streams of work concurrently
  • Proven ability to influence cross-functional teams without formal authority
  • Knowledge of IT Hardware Assets through a previous Asset role or through a support function
  • Ability to identify appropriate stakeholders within and beyond immediate team and work to build and maintain tight network/relationships with them
  • Strong communication skills essential – written and verbal
  • Experience in developing executive level presentation materials
  • Self-starter able to identify where focus is needed and bring clarity to requirements
  • Proven ability to manage multiple, concurrent projects with minimal supervision
  • Ability to work in fast-paced environment with tight deadlines
  • Strong analytical and problem-solving skills.
  • Proficiency in MS Office and related applications (Word, Excel, PowerPoint, Access, Visio, Project). Advanced skill in data manipulation or automation using Excel functionality.
  • Ability to build and sustain relationships with individuals at all levels of the organisation and leverage this to achieve work-related objectives

Education and qualifications

  • Bachelor’s degree in business, computer science, or related field
  • ITIL, PMP certified (desired)
