Our client is seeking a highly organized and detail-oriented Legal Secretary to join their reputable law firm. The successful candidate will provide comprehensive administrative and clerical support to their legal team, ensuring smooth and efficient operations. This role requires excellent communication skills, the ability to manage multiple tasks, and a strong understanding of legal procedures and documentation.
Key Responsibilities:
- Administrative Support:Manage and organize legal documents, correspondence, and case files.
Prepare and format legal documents, including briefs, pleadings, and contracts.
Schedule appointments, meetings, and court appearances for attorneys.
Handle incoming and outgoing mail, faxes, and emails.
Maintain and update physical and electronic filing systems.
- Client Interaction:Serve as a point of contact for clients, answering phone calls and responding to inquiries.
Coordinate client meetings and ensure all necessary documents are prepared.
Assist in client onboarding processes, including gathering and organizing client information.
- Legal Research and Documentation:Conduct basic legal research and compile information for attorney review.
Proofread and edit legal documents for accuracy and compliance with legal standards.
Ensure all documents are filed with the appropriate courts or regulatory bodies in a timely manner.
- Office Management:Order and maintain office supplies and equipment.
Coordinate with vendors and service providers for office maintenance and repairs.
Assist in the preparation of billing statements and tracking client payments.
Qualifications:
- Proven experience as a Legal Secretary or in a similar administrative role within a legal environment.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and legal practice management software.
- Strong knowledge of legal terminology, procedures, and documentation.
- Excellent organizational skills and attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Strong communication skills, both written and verbal.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- High school diploma or equivalent; additional legal or administrative training is a plus.
