The position's main focus will be to provide administrative and operational support to the senior management and other team members of the company.
The Executive Assistant/Secretary will report to the senior management/director and work on a day-to-day basis alongside the other team members (actively hiring, targeting to reach at least 5 by end of 2024). This position also allows the candidate to participate in some business-related activities, with the position acting as a bridge between senior management/director and other team members in the company.
Since the company provides services to clients in and operates business in mostly the consumer business sectors, marketing, management, brand management, FMCG, and/or art-related academic backgrounds/skills/experience/know-how will be a plus.
The candidate shall be detail-driven and willing to thrive with the company.
Responsibilities
- Manage senior management's calendar & support leadership team meetings planning to efficiently balance time demands
- Manage and support the logistics of the whole company and the office
- Coordinate the virtual and physical processing of document signatures, such as contracts, annual audit and corporate legal documents
- Support visiting guests or business partners
- Act as liaison between executives, partners and other team members to handle communication flow
- Visit potential office locations with property agents and give feedbacks to management for decision-making purposes
- Visit potential locations for restaurant outlets (if the company decides to open and run a restaurant) and engage in priliminary negotiations with property owners
- Liase with outside renovation teams to implement design and furnishing plans for the company offices and outlets (if any)
Preferred Skills/Qualifications
- Degree in fine arts, design or business, with management, marketing, and/or leadership courses taken
- Knowledge and know-how in consumer businesses
- Operational experience in consumer businesses, including but not limtied to F&B, consumer brands etc.
- Good communication skills and sense of art/design
- Fluent in both English and Mandarin
- Leadership and self-motivation, willing to take responsibilities and engage in hands-on duties
