Operations & Logistics Manager

Operations and Logistics Manager:

Position Summary Reporting to the Director, General Manager, Supply and Logistics, the Operations and Logistics Manager will be responsible for the execution of strategic and operational priorities for end-to-end Manpower Allocation, warehouse and logistic services.

Specific Duties and Responsibilities

Supply Chain and Logistics

• Grow and expand current Supply Chain and Logistics Services to current and upcoming.

• Transition and manage the State Supply Service for PPE items to all the work sites.

• Managing relationships and Service Level Agreements (SLAs) with third party vendors and suppliers.

• Develop strategic plans and policies to improve manpower supply, warehousing, logistics and transport operations.

• Strategically plan and manage manpower supply, logistics, warehouse, transportation and client services.

• Introduction and management of warehouse management and manpower management systems.

• Plan appropriate steps and action plans to achieve the Supply Chain’s strategic goal and objectives.

• Plan people, process and system resources to manage the action plans and to meet KPI targets.

• Ensure compliance of Occupational Health and Safety and a safe workplace for all.

• Logistics management; review and process improvement, cost analysis, scheduling and stakeholder relations.

• Ongoing management and maintenance of the vehicle fleet.

• Daily and monthly KPI reporting on productivity, accuracy and timeliness targets.

• Manage quantity of stock, stock levels, delivery times, transport costs and efficiency.

• Identify and manage continuous improvement projects.

• Resolve any arising problems escalating issues as required.

• As required provide support in solving day-to-day operational issues and reach short- and long-term performance goals.

• Apply supply chain best practice to actively identify, analyse and recommend quick win opportunities both internal and external to HSV.

• Lead and facilitate supply chain improvement and quick win initiatives in the areas of data, process, and technology.

• Engage with stakeholders to identify, scope, plan and execute improvement initiatives.

• Assist in solution design and analytical support for supply chain activities Management

• Contribute to the Supply Chain division and broader team through participation in formal meetings and other activities as required.

• Perform senior management responsibilities as agreed with the General Manager Supply and Logistics.

• Comply with relevant financial and non-financial authorities outlined in the Delegations of Authority instrument.

• Support and develop open and transparent lines of communication with Senior Leadership Team members including by participating in individual and divisional meetings, and by email and other regular interpersonal communication.

• Identify relevant opportunities and make recommendations to improve the processes, workplace health and safety, and quality and service delivery outcomes.

• Partner with People and Culture to recruit, interview, select and hire new employees where relevant and oversee new employee communication on-boarding, induction and development planning.

• Provide direct management support to employees on matters relating to their employment including but not limited to training, leave and complaints.

• Deputise for the General Manager, Supply and Logistics and or any other Executive when called upon to do so.

• Contribute to the management of other streams and other related work groups where required.

• Undertake other tasks or responsibilities as agreed with the General Manager, Supply and Logistics from time to time.

Manpower Planning & Allocation:

• Formulating plans for meeting the company's manpower requirement and ensuring proper utilisation of existing human resources to meet organisational objectives.
• Establishing and developing manpower planning policies & procedures.
• Managing manpower planning process and implementation of the manpower plans.
• Carrying out organisation studies and reviews and work measurements to determining workloads and advice on optimum staffing level requirements.
• Preparing projections of manpower requirements.
• Managing the review of the Company's Organisation structures and updating approved changes in the structure/layout.
• Reviewing and advising managers on job description writing for all positions and ensuring they are updated and maintained.
• Ensures that manpower requisitions and staff movements are in accordance with the approved organization chart and staff establishment.

Leadership

• Provide support to the Manpower supply Manager and Deputy Manager, Supply and Logistics to assist them in managing day-to-day operational activities Deputise for the General Manager, Supply and Logistics and Deputy Manager, Supply and Logistics as required.

• Support the development to set a clear strategic direction for communication team employees, enhances their leadership capacity and capability, and enables them to deliver robust operational support and advice.

• Foster a workplace culture that is consistent with Jai Groups organisational culture emphasising organisational values.

• Maintain strong lines of communication with key stakeholders to ensure the smooth operation of the organisation.

Qualifications and Experience Required

Academic

• Master’s degree/bachelor’s degree/Post graduate Diploma are highly regarded

Experience

• Minimum 10 years of experience including 7 years of relevant work experience.

• Requires strong business and management skill and experience in a warehouse

and logistics operations environment, with a high degree of emphasis on customer

service.

• Experience managing OHS and safety guidelines.

• High level operational management and planning skill and experience.

• Demonstrated leadership and management capabilities and achievements.

• Detailed understanding of supply chain methodologies and how to apply them.

• Ability to work both strategically and at an operational level.

• Strong warehouse management systems experience.

• Demonstrated planning, organizational and analytical abilities.

• Customer focused and able to develop effective relationship with customers.

Personal

• Excellent problem-solving skills and leadership qualities.

• Ability to work with all levels of company staff.

• Comfortable delivering frequent direct written and oral feedback.

• Ability to work under pressure, in a fast-paced environment with the ability to

prioritise effectively.
