Executive, Medical Office

Reporting to Medical Director, the Executive will provide administrative support to the Medical Director's Office and Clinical Teams. He/ She is responsible for the administrative duties pertaining to training, education audit and clinical coverage of the clinical team in the hospice.


Responsibilities


1. Administrative support for Medical Director

  • Manages the Calendar of Medical Director (MD)
  • Arranges Meetings for MD
  • Collates Monthly Reports / Key Performance Indicators (KPIs) for MD
  • Collation and timely submission of clinical reports and statistics to MOH, AIC and other authorities or agencies

Administrative support for the following meetings which comprises of collation of agenda items, recording of minutes and following up on action items:

i. Medical Professional and Audit Committee (MPAC);

ii. Clinical Quality and Audit Committee (CQAC);

iii. Clinical and HOD Meetings

iv. Any other Meetings MD is Chairing

  • Clinical Roster and prepares and verifies claims of Drs-on-call
  • Collation of clinical team’s report to EXCO, Council and MPAC Mtgs.

2. Administrative support for Doctors

Collates Doctors Leave and supports other administrative matters for Doctors

3. Administrative support in Clinical Quality, Infection Control and Audit Committee

  • Ensures timely submission of reports for Quality Improvement projects and grant reports.
  • Ensure that all services implemented meet MOH’s service standards
  • and/or the project’s targeted outcomes, including meeting National Palliative Care guidelines
  • Sends out and collates annual Singapore Hospice Council Patient and Caregiver Satisfaction Surveys

4. Administrative support in Medical Professional and Audit Committee (MPAC)

  • Quarterly submission of compliments and complaints received
  • Carries out all MPAC related matters

5. Medical Reports

  • Processes the administration aspect of requests for medical reports from patients, insurance companies, solicitors.

6. Administration of Clinical Attachments for Medical / Clinical Staff

  • Co-ordinates the clinical attachments of Doctors / Nurses / Allied Health to DPH.

7. Others

  • Prepares Birthday Cards for Clinical HODs for MD to Sign
  • Any other duties as assigned by the Medical Director.


Requirements

  • Diploma/Degree in Nursing, Healthcare or Administration-related field.
  • Preferably experience working in healthcare industry especially as Department Secretary
  • Mature, dynamic, and self-motivated.
  • Possess excellent communication and interpersonal skills.
  • Self-directed with the ability to work with little supervision.
  • Comply with accepted professional standards and practices.
  • Possess satisfactory references from employers and / or professional peers.
  • Flexible and cooperative in fulfilling all obligations
