1. Administrative Support
- Manage Executive’s Schedule: Organize and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements. Prioritize and adjust schedules as needed.
- Coordinate Meetings: Schedule, organize, and prepare materials for meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle Communications: Screen and manage incoming calls, emails, and correspondence.
2. Travel and Event Management
- Travel Arrangements: Plan and book travel arrangements, including flights, accommodations, and transportation.
- Event Planning: Organize and coordinate company events, conferences, and special projects.
3. Office Management
- Administrative Systems: Maintain and manage office systems, including filing, record-keeping, and office supplies inventory.
- Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
4. Stakeholder Liaison
- Internal Coordination: Act as a liaison between the executive and other departments, staff, and external partners. Facilitate effective communication and resolve issues as they arise.
Requirements:
- 3-5 years of experience as an executive assistant or in a similar administrative support role.
- Excellent organizational and time-management abilities.
- Strong verbal and written communication skills. Professional demeanor and the ability to interact effectively with executives and staff.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment and technology.
- Strong problem-solving abilities and the capacity to work independently with minimal supervision.
- High attention to detail and accuracy in completing tasks.
