Job Responsibilities:
- Coordination and Scheduling: Facilitate planning and timing of class surveys and inspections to ensure compliance while minimizing disruptions.
- Dry Docking Coordination: Organize schedules, prepare documents, and coordinate logistics for efficient dry-docking.
- Inspection and Survey Arrangements: Manage inspections and surveys for certificate renewals, ensuring vessel availability.
- Regulatory Body Liaison: Act as the main point of contact for regulatory bodies, facilitating inspections and document submissions.
- Maintenance and Compliance Support: Update maintenance schedules and ensure effective communication for vessel maintenance.
- Record Maintenance for Easy Access: Organize records to support audits, inspections, and reviews.
- Compliance and Documentation: Monitor regulatory changes, maintain compliance checklists, and ensure all documents are up-to-date.
- Certificate and Documentation Renewal: Manage timely renewal processes for all necessary vessel certificates and documentation.
- Administrative and Logistic Support: Assist in technical budget and management, ensuring cost efficiency.
- Service Provider Liaison: Coordinate with external service providers for technical services ensuring timely and effective delivery.
- Purchase of Spares and Stores: Source for vendors and quotations, buying, and proactively manage all purchases and shipments of spares and stores from approved vendor lists both locally and overseas
- Negotiation: Negotiate pricing, commercial terms/ quotations with local and overseas suppliers, and preparation of PR & PO
- Purchase Administration: Perform daily operational purchasing matters and coordinate shipping documentation, logistics and schedules.
- Delivery of Items: Ensure on-time delivery of materials from suppliers and meeting quality requirements
- Vendor Coordination for Certification Services: Coordinate vendor services for certification processes ensuring adherence to maritime standards.
- Filing and Record Keeping: Maintain up-to-date records of technical operations and compliance documentation.
- Communication and Project Support: Support effective communication between technical teams and external parties.
- Project Administrative Support: Assist in managing technical projects, ensuring clear communication and timely progress.
- Inventory Management Support: Oversee inventory levels of spare parts and technical supplies, ensuring efficient tracking and availability.
- Other duties as assigned
Job Requirements:
- Qualifications: Diploma in Business Administration, Office Administration, or related fields.
- Experience: 1-2 years in a technical administration or similar role, preferably within the marine industry.
- Skills and Abilities: Strong organizational and time management skills. Excellent communication skills in English and Mandarin. Proficiency in MS Office applications. Effective interpersonal skills, capable of working within a team and across organizational levels.
- Personal Qualities: Flexibility, adaptability, and a proactive approach to managing tasks and priorities.
