Key Responsibilities
- Provide front desk reception duties for the office by managing internal and external stakeholders in a professional and timely manner.
- Maintain the reception area, ensuring that it is clean and presentable, with all necessary materials.
- Manage switchboards – screening and directing incoming calls.
- Manage all aspects of meeting rooms, including providing basic technical support if necessary.
- Coordinate and schedule external client meetings.
- Manage business travel (coordinate flight and accommodation booking) and ensure proper records of business travels are kept for audit purposes.
- Responsible for postal and courier services (local and international).
- Maintain complete stock of stationery and pantry supplies. Verify invoices and provide procurement support in term of sourcing for related vendors, evaluating quotations, and providing recommendations.
- Provide facilities management support for efficient and effective delivery of logistics and support services to the office environment.
- Support any other ad-hoc office administrative duties that may be assigned.
Qualifications
- Degree/Diploma in Business Administration or related field.
- Minimum 3 years of work experience as a receptionist, front office representative or similar role.
- Excellent communication and interpersonal skills.
- Good customer-service oriented mindset and a team player.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize task.
- Proficiency in Microsoft office suite (Word, Excel, PowerPoint).
