Admin Assistant

Hitachi Plant Services Co., Ltd.

Responsibilities

  • Provide assistance to the Senior Project Manager in managing job number documentation related matters
  • Assist in negotiate and purchase materials from both local & overseas supplier
  • Submit approval of phone bills, petty cash and leave form for engineers.
  • Update quotation control file records
  • Follow up COC and other document with engineers
  • Update internal databases with order details (dates, vendors, quantities, discounts)
  • Work closely with management and various departments on their operational requirements
  • Monitor / follow up with vendors on delivery schedules
  • Maintain and manage proper document filing (eg. photocopying, scanning, filing and printing)
  • Perform any other ad hoc duties as assigned

Requirements

  • GCE ‘N’ levels, ‘O’ levels or ‘A’ levels qualification, ITE, Diploma or equivalent
  • Minimum 1-2 years relevant working experience preferably in the construction industry
  • Good communication, organizational and interpersonal skills to coordinate with all levels
  • Proficiency in MS Office Suite (Word, Excel, Outlook)
  • Possess excellent written and spoken communication skills
  • Capability to handle multiple tasks simultaneously and prioritize workload effectively in a fast-paced environment
  • Result oriented, self-motivated and able to work independently
  • High level of accuracy and attention to detail in all aspects of work
  • Able to commence work immediately or within short notice
