Job Description

Admin and Facilities Support:

  • Provide general administrative support to ensure efficient operation of the office.
  • Manage and coordinate the maintenance of office facilities, including liaising with the facilities team for any required repairs or cleaning services.
  • Assist with the procurement process, including ordering and restocking of stationery and pantry supplies.
  • Liaise and coordinate with vendors and service providers to fulfill requirements and ensure quality service.
  • Coordinate with the finance team to process bills and invoices, ensuring timely payment and accurate documentation.

Access and Booking Systems:

  • Update and manage the Centre's facial recognition access system.
  • Maintain the meeting room booking system, ensuring all reservations are accurately recorded.

Finance and Documentation:

  • Assist in liaising with the finance team for documentation and processing of bills and invoices.
  • Maintain accurate records and ensure compliance with financial procedures.

Facilities Maintenance:

  • Work closely with the facilities team to schedule and oversee maintenance work.
  • Ensure cleaning and sanitation services are performed to a high standard.

This is an hourly-rated position.

Qualifications

  • Minimum Polytechnic Diploma with at least 2-4 years of working experience in similar capacity
  • Team player with good interpersonal and communication skills
  • Proactive individual with a positive work attitude
  • Diligent, systematic, and organized
  • Attentive to details
  • Good knowledge in cost and quality control, resource planning and on-site operations
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
