Lease Admin Support
- Co-ordinate with marketing agents and tenants to facilitate viewing of office premises
- Prepare cover letters to LOOs, TAs, surrender agreements, etc for despatch to tenants.
- Monitor and track the timely return of the above tenancy documents including payment of requisite monies e.g. advance rent, security deposit, legal fees, stamp fees, etc.
- Liaise with surveyor to carry out survey of premises
- Arrange for timely stamping of the documents.
- Despatch documents to the landlord for execution and track return for document completion
- Check that all documents are in order and full payments made before premises are handed over to the tenants.
Billing & Verification of Monthly Rent Roll
- Prepare lease notification forms (LNFs) for sign-off by GM/AM for all leases
- Update all tenancies in Yardi for proper rent billing
- Prepare monthly rent rolls for approval by clients
- Prepare monthly leasing reports covering tenancy schedule, lease expiry profile and occupancy status.
Property Tax Matters
- Manage property tax matters covering the review of annual values vis-a-viz the contracted rents, liaise with IRAS on the bases of assessment, make appropriate recommendations to the client to accept/object; submit objections to IRAS; compute and recover any additional property taxes from tenants
Property Insurance
- Track and follow up with tenants for submission of valid insurance policies taken for their premises.
