Job Description:

ALANGKAAR Wedding and Events Planner is seeking a highly organized, detail-oriented, and proactive Executive Administrative Assistant to join our dynamic team. As an Executive Administrative Assistant, you will provide comprehensive administrative support to the CEO and ensure the smooth operation of various business functions. This role requires exceptional multitasking abilities, a keen eye for detail, and the capacity to handle confidential information with discretion.


Must be able to speak tamil


Key Responsibilities:

Administrative Support:

• Manage the CEO’s calendar, schedule appointments, and coordinate meetings.

• Handle correspondence, draft emails, and prepare documents.

• Maintain organized filing systems (physical and digital).


Task Management:

• Oversee and ensure the completion of assigned tasks and projects.

• Act as a liaison between the CEO and other team members.

• Monitor task progress and follow up with staff to ensure deadlines are met.


Financial Management:

• Assist with financial tasks such as budget tracking, expense reporting, and invoice processing.

• Liaise with the finance department to ensure accurate and timely financial management.


Research and Reporting:

• Conduct research on various topics as needed, providing insights and summaries to the CEO.

• Prepare reports, presentations, and data analysis to support decision-making.


Meeting Coordination:

• Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.

• Ensure all meeting materials are prepared and distributed in advance.


Confidentiality and Discretion:

• Handle sensitive and confidential information with the utmost discretion.

• Manage private matters as directed by the CEO.


Qualifications:

• Proven experience as an Executive Administrative Assistant or in a similar role.

• Excellent organizational and time-management skills.

• Strong written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

• Ability to handle financial tasks and basic accounting.

• High level of professionalism and discretion in handling confidential information.

• Strong interpersonal skills and the ability to work collaboratively with various departments.

• Ability to prioritize tasks and manage multiple projects simultaneously.

• Attention to detail and problem-solving skills.


Preferred Qualifications:

• Bachelor’s degree in Business Administration, Finance, or related field.

• Experience in the wedding and events planning industry.

• Familiarity with project management tools and software.

• Proficiency in research and data analysis.
