We are actively seeking a responsible and high-initiative Administrative Executive to join our team.
The ideal candidate will demonstrate a strong sense of accountability and proactiveness in executing their duties, taking ownership of tasks and driving initiatives forward independently. - Client Relations: Serve as the primary point of contact for clients, addressing inquiries, providing assistance, and ensuring a positive customer experience. Maintain client databases, including contact information, policy details, and communication history. Assist clients with policy renewals, claims processing, and policy adjustments as needed.
- Policy Administration: Process new insurance policies, including gathering client information, completing applications, and ensuring all necessary documentation is submitted accurately and on time. Monitor policy expirations and proactively reach out to clients for renewal opportunities. Coordinate with insurance carriers to obtain quotes, endorsements, and policy documents.
- Administrative Support: Manage administrative tasks such as answering phones, scheduling appointments, and handling correspondence. Maintain office supplies inventory and place orders as needed. Organize and maintain filing systems for client records, policies, and other documentation.
- Claims Assistance: Assist clients with filing insurance claims, providing guidance on required documentation and procedures. Follow up with insurance carriers on behalf of clients to ensure timely claims processing and resolution. Coordinate communication between clients, adjusters, and other parties involved in the claims process.
- Underwriting Support: Review applications for completeness and accuracy, requesting additional information or clarification as needed.
- Compliance and Regulatory Compliance: Ensure compliance with industry regulations and company policies in all administrative and operational activities. Stay updated on changes in insurance regulations and communicate relevant information to the team. Assist in the preparation of compliance reports and audits as required.
- Team Collaboration: Collaborate with agents, brokers, and other team members to ensure efficient workflow and client satisfaction. Participate in team meetings, providing input on process improvements and operational enhancements. Support colleagues with administrative tasks and project-based assignments as needed.
- Training and Development: Stay informed about insurance products, coverage options, and industry trends through ongoing training and professional development opportunities. Share knowledge and best practices with team members to enhance overall performance and service delivery.
- Patient Referral Management: Identify potential sources of patient referrals, including healthcare facilities, clinics, and community organizations. Establish and nurture relationships with healthcare providers to secure consistent patient referrals. Coordinate referral processes, ensuring seamless communication between referring parties and our organization. Monitor and track referral metrics to assess performance and identify areas for improvement.
- Client Acquisition for Remote Administrative Services:Develop strategies to attract and acquire clients in need of remote administrative support services. Conduct market research to identify target industries and potential clients. Reach out to prospects through various channels, including cold calling, email campaigns, and networking events. Collaborate with the administrative team to customize service offerings according to client needs and preferences.
- Business Development Support: Assist the executive team in developing and implementing business development plans and strategies.
Conduct market analysis to identify emerging trends and opportunities for expansion. Prepare presentations, proposals, and other materials for client meetings and business pitches. Participate in industry events, conferences, and networking activities to promote the organization and build partnerships.
Qualifications:
- Certification / Diploma / Bachelor's degree in Business Administration, Marketing, Healthcare Management, or related field.
- Proven experience in business development, sales, or marketing roles, preferably in the healthcare or insurance industry.
- Strong communication, negotiation, and interpersonal skills.
- Excellent organizational and time management abilities, with a keen attention to detail.
- Proficiency in Microsoft Office Suite and other commonly used softwares especially Apple platform.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of healthcare regulations and compliance standards is a plus.
