Responsibilites
Library Administration
- Plan and manage the day-to -day operations and administration of the library and collection development within the approved budget.
- Develop, implement and review library policies and Standard Operating Procedures (“SOPs”)
- Ensure and monitor compliance with library policies and SOPs.
- Provide regular reports to company's Appointed Representative and Senior Management when required (this may include monthly KPI / statistics / temperature and humidity levels)
- Manage the Library Management System (“LMS”) to maintain accuracy of data in LMS to maintain accuracy of data in LMS and to monitor the movements of library items.
- Plan and prepare the annual budget submission and monitor budget utilization.
- Manage the contracts for library operations
Circulation, Reference and Information Services
- Circulation and loan services;
- Information and reference services, including specialist research assistance (e.g Requests from Judges or Judicial Officers on where to find certain information / materials);
- Inter-library loans.
- Document Delivery services;
- Horizon scanning services (i.e scanning of news publications for legal-related articles);
- Alert services, such as email alerts on legislation published in the government gazette and any other publicity alerts to create awareness of library resources or provide updates of library matters;
- Check officer’s loan records and sign the Clearance Form for officers leaving service
- Handle enquiries received from all channels, including enquires from walk-in users, by phone and through emails (internal & external);
- Conduct or facilitate user education programmes, briefings for new staff, library tours
Collection Maintenance and Development
- Develop and maintain a collection of print and electronic resources to support the reference and information needs Supreme Court Staff.
- Negotiate and liaise with suppliers of vendors for the acquisition of new resources(print and electronics), subscriptions and renewals of serials (print and electronic) and online databases.
- Responsible for handling all aspects of the acquisition and collection development and maintenance exerc ise, including:
- Complying with the Instruction Manual requirements for the purchases and liaising with Finance Directora te.
- Calling for quotes;
- Seeking approval for acquisition from Appointed Representative.
- Placing orders(for books or subscriptions); 8. Processing Library items
Library Management System
- Familiarise with the use of the LMS currently subscribed by the library.
- To liaise and work closely with the LMS vendor for computer information Systems Department to maintain / enhance LMS where necessary to ensure the system can support library operations.
Requirements
- Bachelor's degree or a recognized postgradudate qualifiaction in Library
- At least 8 years of library experience
- Excellent verbal and written communication skills
- Strong organizational and project management skills
