Job Description:
We are a small construction and renovation company seeking a versatile Administrative Assistant to join our team. This role encompasses administrative duties, simple accounting tasks, HR responsibilities, and some purchasing activities. The ideal candidate will ensure the smooth operation of our office and support our team effectively.
KEY RESPONSIBILITIES:
Administrative Support:
- Prepare and manage quotations and invoices etc documents.
- Assist the Accounts Manager and Director with various administrative tasks.
- Implement and create workflows and forms for site operations, particularly for material ordering and stock control.
- Assists to prepare and manage risk assessments documents.
Human Resources:
- Handle all work permit/s pass applications, renewals, cancellations and repatriation including managing the entire onboarding process such as PCP and dormitory arrangement.
- Prepare HR documents such as memos, letters of appointment/contract, confirmation, increment and termination.
- Ensure daily clock-in and clock-out records for workers using our Info-Tech HRMS system.
- Update and maintain records of staff annual and medical leaves in the HRMS system.
- Ensure all workers' information in Info-Tech HRMS system is up to date.
Accounting:
- Assists the Accounts Manager in managing petty cash and workers' salaries.
- Assists with simple accounting tasks as required.
Purchasing:
- Source and purchase site materials as needed.
- Oversee site purchases and control stock to prevent unnecessary wastage.
Requirements:
- Relevant experience in the construction or renovation industry.
- Strong organizational and multitasking skills.
- High sense of responsibility and initiative.
- Excellent team player with good communication skills.
- Proficiency in MS Office.
- Experience with ISO standards is an added advantage.
- Ability to speak and understand both English and Mandarin.
