Responsibilities
- Develop and implement administrative systems, policies, and procedures.
- Ensure compliance with legal, regulatory, and organizational standards.
- Oversee the day-to-day administrative operations of the department or organization.
- Delegate tasks and responsibilities to team members, ensuring timely completion of projects.
- Manage office budgets, including expenses related to supplies, equipment, and facilities.
- Coordinate procurement of office supplies and services, negotiating contracts with vendors as needed.
- Provide administrative support to senior management, including scheduling meetings, managing correspondence, and preparing reports.
- Work with Finance to handle the expats’ salaries, benefits in line with China HQ and local practices.
- Assist in the preparation and coordination of meetings, events, and presentations.
- Ensure efficient operation of office equipment and facilities.
- Oversee the maintenance and organization of office records, both digital and physical.
- Coordinate with other departments to streamline processes and improve efficiency.
- Serve as a point of contact between senior management, staff, and departments.
- Maintain effective communication channels within the HQ office, implement effective controls to branch/projects level as HQ requirements, and response the outcome to HQ in time.
Requirements
- Bachelor degree in any discipline or equivalent with minimum of 4 years’ relevant experience, preferably in a matrix structured organisation.
- Good office administrative knowledge
- Proficient in MS Office
- Pleasant personality, customer-oriented and resourceful
- Meticulous with details and good communication skills
- Positive attitude and ability to work effectively both independently and as part of a team
- Familiarity with employment laws and regulations (e.g tax equalization) across different geographies
