Events Manager


The Events Manager will be responsible for planning, organizing, and executing key external events that raise awareness and funds for the Foundation, as well as internal staff engagement events that foster a positive and collaborative work environment. This role requires exceptional organizational skills, creativity, and the ability to manage multiple projects simultaneously.


Event Planning and Execution:


  • Plan, coordinate, and execute a variety of external events including the Foundation’s annual signature fundraising Golf Charity.
  • Work with the programmatic teams across the foundation to support community outreach programs, and awareness campaigns.
  • Work closely with the Chief of Learning and Culture and HR teams to organize internal staff engagement events such as team-building activities, staff retreats, and townhalls to promote a positive and collaborative workplace culture.
  • Develop detailed event plans, including timelines, budgets, and logistics, ensuring all aspects of the events are well-coordinated.


Vendor and Partner Management:


  • Identify and liaise with vendors, including venues, caterers, decorators, and AV technicians, to ensure high-quality event execution.
  • Negotiate contracts and manage relationships with external partners and sponsors to maximize event success and cost-efficiency.
  • Coordinate with program teams, volunteers, and other stakeholders to secure necessary resources and support for events.


Marketing and Promotion:


  • Collaborate with the communications team to develop and implement marketing strategies for events, including promotional materials, social media campaigns, and press releases.
  • Ensure consistent branding and messaging across all event-related communications.

On-site Event Management:


  • Oversee the setup, execution, and teardown of events, ensuring all aspects run smoothly and according to plan.
  • Manage on-site logistics, including vendor coordination, attendee registration, and troubleshooting any issues that arise.
  • Provide leadership and direction to event staff, volunteers, and interns during events.


Post-event Evaluation:


  • Conduct post-event evaluations to gather feedback, measure event success, and identify areas for improvement.
  • Prepare detailed reports on event outcomes, including attendance, financial performance, and stakeholder feedback.
  • Utilize evaluation insights to enhance future events and overall event strategy.


Budget and Financial Management:


  • § Develop and manage event budgets, ensuring all expenses are tracked and reported accurately.
  • § Seek cost-effective solutions and sponsorship opportunities to maximize event resources.


Educational Qualifications


  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.


Relevant Experience


  • At least 5 years of experience in event planning and management, preferably in the non-profit sector.
  • Proven track record of organizing successful events.
  • Excellent organizational and project management skills, with the ability to handle multiple events simultaneously.
  • Strong interpersonal and communication skills, with the ability to work effectively with diverse stakeholders.
  • Creative and detail-oriented, with a knack for problem-solving and innovation.
  • Proficiency in event management software, Microsoft Office Suite, and social media platforms.
  • Flexibility to work evenings and weekends as needed for events.
  • Passion for the mission of the Tsao Foundation and a commitment to enhancing the lives of older adults.


Preferred Qualities:


  • Experience in the non-profit sector or a similar mission-driven organization.
  • Knowledge of aging and eldercare issues.
  • Passion for the mission and values of the Tsao Foundation.
  • Ability to communicate and build relationships with colleagues from various local sites to translate their requirements into engaging communications
  • The ability to work on a number of tasks and work to tight deadlines
  • The desire to learn as well as take ownership and initiative over tasks
  • Creative and full of ideas of how to improve and innovate
