Role Overview:
We are looking for an experienced Production Specialist to oversee the planning, production, and execution of events and awards galas. This individual will be responsible for coordinating all aspects of event production, from concept development (drafting agenda and speaker acquisition) to on-site management, ensuring that every event runs smoothly and meets our high standards of quality.
Key Responsibilities:
Event Planning: Collaborate with the events team to develop and execute detailed production plans for events and awards galas, including timelines, budgets, and resource allocation.
Vendor Management: Identify, negotiate with, and coordinate vendors and suppliers, including audio-visual teams, caterers, decorators, and venue staff, to ensure high-quality service delivery.
Logistics Coordination: Manage all logistical aspects of events, including transportation, setup and breakdown, seating arrangements, and technical requirements.
On-Site Management: Serve as the primary point of contact during events, overseeing all operations, staff, and volunteers to ensure everything runs smoothly.
Technical Support: Ensure all technical elements (lighting, sound, video) are properly set up and functioning during events, working with technical teams to address any issues promptly.
Attendee Experience: Enhance the overall attendee experience by managing registration, facilitating communication before and during events, and addressing any inquiries or concerns.
Post-Event Review: Conduct post-event evaluations to assess the success of the event, gather feedback, and identify areas for improvement for future events.
Creative Input: Collaborate with marketing and content teams to incorporate themes and branding into the event production, ensuring alignment with organizational goals.
Qualifications:
Experience: 3+ years of event production experience, preferably in the financial services, insurance, or related industries; experience in awards galas is a plus.
Education: Bachelor’s degree in Event Management, Hospitality, Communications, or a related field.
Project Management: Strong organizational and project management skills, with the ability to manage multiple events simultaneously and meet deadlines.
Technical Knowledge: Familiarity with audio-visual equipment, event technology, and production processes.
Communication Skills: Excellent verbal and written communication skills, with the ability to collaborate effectively with diverse teams and stakeholders.
Problem-Solving: Strong problem-solving skills, with the ability to think quickly and adapt to changing circumstances during events.
Attention to Detail: Exceptional attention to detail to ensure high-quality outcomes in all aspects of event production.
