Role:
This role should perform a variety of tasks to support business and help teams focus on their goals. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.
Responsibilities:
1. Perform clerical works and assist to prepare the documents
- Undertake clerical duties (e.g. answering phone calls, emails and drafting offer letters)
- Preparing PowerPoint slides for the presentation to the stakeholders
- Assist with preparing the documents to submit to the government agencies (e.g. OED & Survey submission, Company Track records, Financial reports etc.,)
- Assist with HR admin related tasks such as preparing offer letter, onboarding, off boarding, monthly payroll, KPI, Timesheet, CPF submission, Personnel File storage, work pass applications, reference check etc.,
2. Manage the data with customer relationship management, applications tracking and the finance systems
- Assist with recruitment activities such as job advertisement, CV shortlisting, contact applicants, phone screening and CV submission to clients
- Assist with data collection, entry and report generation for the management of applicant tracking system (ATS)
- Create invoices for billing preparation/Issuance; Liaise with customers on billing matter
- Assist with data collection, entry and report generation for the management of customer relationship management system (CRM).
- Run the email marketing campaign using the internal marketing system
Any other tasks assigned by the HR & Admin Manager.
Requirements:
- A meticulous individual who is able to multi-task and work independently in a fast-paced environment
- An effective team player with good interpersonal and communication skills
- The Personnel must have good customer service skills
- The Personnel should be proficient in using Microsoft Office applications (Microsoft Word, Excel, Power point and/or equivalent)
- The Personnel should preferably have at least 3 years of experience in administrative assistant in office settings
