Administrative Assistant

Position Overview:

We are seeking a proactive and organized Administrative Staff member to join our dynamic and growing international team.

This part-time role offers the potential to transition to a full-time position in 2025.

The ideal candidate will be an independent problem solver, a natural organizer who has excellent communication skills and who enjoys ensuring smooth office operations and keeping things well-organized.

Key Responsibilities:

Office Management:

  • Oversee daily office operations, including managing office supplies, equipment and facilities including workspace planning, phone systems, security systems, and office cleaning.
  • Handle incoming and outgoing mail and courier services efficiently.
  • Liase with vendors and service providers
  • Handling internal communications

Administrative Support:

  • Maintain and organize company records on Sharepoint, ensuring all documents are well-organized and accessible
  • Ensure the confidentiality of all company documents.
  • Assist in organizing company events and activities to promote team cohesion.
  • Maintain and update the company contact list.
  • Organize and sort files in SharePoint, ensuring easy access and retrieval.

IT Support:

  • Assist in setting up laptops and workstations for new hires.
  • Manage IT onboarding and offboarding processes for new hires and leavers.
  • Coordinate with external IT vendors to resolve technical issues.
  • Set up telephone lines and business SIM cards for new joiners.

Prerequisite:

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to take initiative and work independently
  • Proficiency in using office software and tools (e.g., Microsoft Office, SharePoint).
  • Basic understanding of IT systems and hardware setup is a must
  • Previous administrative or office management experience is preferred but not required.
