A) JOB SCOPE
Summary: Provides Procurement and Grant support to the organisation
Reporting to Manager (Procurement, Schemes and Grants), you shall be responsible for project management, procurement functions and other administrative functions.
Key Responsibilities
1. Procurement functions
a. Review and handle sourcing activities including preparing and liaising with users on the RFQ/RFP documents by ensuring adherence to procurement policy
b. Handle the preparatory activities for Evaluation Committee meeting and consolidate the Committee’s assessment after meeting
c. Check Purchase Requisitions (PRs) and Purchase Orders (POs) to ensure compliance with procurement policies and procedures, evaluate and prepare submissions for approval
d. Supports users in the creation of PRs and POs and performs vendor creation in the purchase requisition module
e. Assist in the periodic reviews of purchases and related documents
2. Schemes and Grants Administration
a. Grants/Schemes administration including preparation of grant applications and utilisation reports
b. Administer and review various schemes for clients which include applications, disbursements and fund usage reporting
c. Assist in the running of events for the clients
3. Other functions
a. Support continuous work improvement initiatives
b. Handle enquiries from internal users, vendors and clients
c. Other administrative duties as assigned.
B) JOB HOLDER REQUIREMENT
1. Diploma/Degree holder in any discipline
2. At least 3 years of relevant working experience in procurement related functions
3. Strong proficiency in Microsoft Office and Excel is necessary
4. Knowledge of ERP (Microsoft Dynamics NAV) and Grant/scheme administration will be an advantage
5. Proactive, meticulous, possess good communication and interpersonal skills, and a good team player
