Job Description

  • Industry/Organization Type: Engineering Solution Provider
  • Position Title: Corporate Service Assistant/Office Admin Assistant
  • Working Location: Nearest MRT – Kranji
  • Working Hours: Monday – Friday, 9 am – 5.30 pm
  • Salary Package: Up to $3,200 + AWS + VB
  • Duration: Permanent

Key Responsibilities

  • Handle general office administration and tasks efficiently.
  • Support various sections within the Corporate Service department by managing time and leave systems (TMS & WhyzeHR), processing HR inductions for new hires, training applications, claims, and grant applications.
  • Assist in HR administrative duties such as processing internal/external training, enhancing employee relations, implementing improvements, and managing HR documentation and filing.
  • Manage daily attendance records and maintain the employee portal system.
  • Maintain an up-to-date general office filing system, including scanning and filing of operational records like sales orders, invoices, and purchase orders.
  • Coordinate and assist in making travel arrangements for overseas VIPs and staff, including booking air tickets and hotels.
  • Oversee overall office management, including maintaining office supplies/inventories and regularly checking office stocks.
  • Liaise with vendors and manage procurement related to facilities issues, office and pantry stocks, and equipment.
  • Handle mail collection, sorting, distribution, and franking of outgoing mail.
  • Communicate announcements to all staff.
  • Initiate and support company events or activities, including coordinating vendors, venues, and logistical arrangements.
  • Assist with sales and order processing to support the Purchasing department.
  • Manage and handle company marketing items like business cards and company t-shirts.
  • Receive and serve visitors and attend to incoming calls and facsimiles promptly.
  • Coordinate the maintenance and upkeep of the office, reception area, meeting rooms, and common spaces.
  • Monitor and ensure the cleanliness and orderliness of the office.
  • Perform any additional duties or projects as assigned by superiors or management.
