The Operations Executive plays a crucial role in ensuring the smooth and efficient execution of our shipping operations, focusing on vessel scheduling, daily operations, conflict resolution, and customer relationship management. This position requires a detail-oriented and organized individual with strong communication and problem-solving skills. The Operations Executive will collaborate closely with various internal and external stakeholders to ensure timely deliveries, accurate documentation, and optimal resource utilization.
What you will be doing:
Data Management
- Ensure all data is entered accurately and promptly into the company's systems.
- Maintain up-to-date records of shipments, deliveries, and inventory.
Shipping Coordination
- Coordinate with shipping agents to obtain accurate vessel ETAs.
- Liaise between charterers and the shipping team to ensure smooth communication and alignment.
- Track shipments and address any issues that may arise.
Vessel Scheduling:
- Efficiently schedule vessels to meet delivery timelines and optimize resource utilization.
- Coordinate with port authorities, agents, and other stakeholders to ensure smooth vessel operations.
Daily Operations Management
- Oversee daily operations, including loading, unloading, and vessel movements.
- Monitor vessel performance and address any operational challenges.
- Ensure compliance with safety regulations and company procedures.
Conflict Resolution
- Effectively manage conflicts and disputes related to shipping operations.
- Negotiate and mediate with stakeholders to reach mutually agreeable solutions.
- Escalate issues to management as needed.
Customer Relationship Management
- Build and maintain strong relationships with customers.
- Address customer inquiries and concerns promptly and professionally.
- Ensure customer satisfaction with our shipping services.
What we are looking for
- Diploma in Logistics, Supply Chain Management, Maritime Studies, or a related field.
- 2+ years of experience in shipping operations or a similar role. Fresh graduates are welcome to apply.
- Strong knowledge of shipping procedures, documentation, and regulations.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and relevant shipping software.
- Ability to work independently and as part of a team.
- Strong problem-solving and decision-making skills.
