Job Description
Reporting to the Dean, the Head of Administration will be the primary point of contact for all administrative and operational matters and is responsible for the operational delivery and day-to-day management of the faculty including:
- Working closely with the Dentistry's leadership to progressively develop and evolve strategies required to contribute to the University's strategy
- Overseeing timely and efficient implementation of these strategies
- Developing and implementing the procedures and processes required to support the projected change in administration, management, teaching and research activity by the Faculty and University
- Working with the faculty and NUCOHS staff to ensure optimal management of space occupied by the Faculty and broader integration with NUCOHS activities throughout the building that supports current and future activities of the Faculty and realisation of its Vision
- Developing and implementing the Faculty administrative guidelines and processes required to support academic productivity and drive efficiency, productivity while maintaining high levels of service to constituent stakeholders and to create a collaborative and safe workplace culture that affirms and celebrates achievement, innovation and cross disciplinary research
- Working with NUHS and NUS to facilitate the development and implementation of the Faculty's strategy, build productive relationships and identify activities that will raise the profile of NUS Dentistry and work with relevant stakeholder communities including regulators
- Provides effective Governance, leads and supports, as required, the negotiation and agreement on any agreements, either existing or contemplated, between the Faculty and actual or potential stakeholders on issues related to occupancy, academic and funding matters wrt faculty activities
- Works with Leads in Finance and HR to ensure effective financial management and staffing across NUS Dentistry, ensure organisational structures are designed to best fit the objectives of NUS Dentistry and its operations within a context of financial constraint
- Integrating technological advances into processes to replace transactional activities with transformative, strategic and service-focused activities
Qualifications
Education: Bachelor's degree in Business, or related financial field. A Master's degree is preferred.
Experience: Minimum 12 to 15 years of experience in administrative management, with at least 5 years in a leadership role in a major corporation or industry and established experience of evaluating, supervising and motivating employees in administration and operations
Skills:
- Demonstrable operational efficiency, Cross-functional collaboration, Resource allocation, business management and quality assurance
- Excellent communication (both written and verbal) and interpersonal skills
- Proficient with the use of computers and software programmes used in finance and business
- Knowledge of budget management and financial procedures
- People management skills
- Complex problem-solving skills and root-cause analysis
