Administrative Assistant

Location: Catholic Junior College, 129 Whitley Road, Singapore 297822

Contract Period:

  • Initial Term: From 2 September 2024 to 31 August 2025.
  • Option to Extend: The School has the option to extend the contract for a further period of 12 months, from 1 September 2025 to 31 August 2026, at their discretion.

Working Hours:

  • Monday to Thursday: 8:30 am to 6:00 pm (including 1-hour lunch break)
  • Friday: 9:00 am to 6:00 pm (including 1-hour lunch break)
  • Service is not required on Saturdays, Sundays, and gazetted public holidays.

Scope of Services:

  1. Counter Duties:Handle telephone calls and inquiries from the public, parents, students, and staff.
    Attend to day-to-day needs of students.
    Maintain and update students' early leave college records.
  2. Ad Hoc Duties:Provide ad-hoc printing services for teachers as needed.
    Assist in following up with teachers on delivery requirements.
    Perform general cleaning of the General Office counter and reception area.
    Maintain records of incoming mail and arrange for distribution.
    Assist in collating school bills for distribution to students.
  3. General Admin:Maintain and update students' data records (e.g., A-level certificates and testimonials).
    Perform administrative tasks such as filing and photocopying.
    Assist in contacting Teachers-in-Charge (TICs) for submission of supporting documents and payment endorsements.
    Assist in updating staff leave records (e.g., medical certificates and overseas leave).
  4. Other Duties:Compile data, statistics, and surveys as required.
    Perform any other duties as assigned by Principal, Vice-Principals, or Administration Managers.

Qualifications, Skills & Experience:

  • Educational Qualification: GCE 'O' Level Certificate or equivalent.
  • Technical Skills: Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Experience: Minimum of three years of relevant experience in administration and counter service, preferably in a school environment.
  • Language Skills: Proficient in English (oral and written).
