How Will You Be Contributing to Our Success?
- Manage annual budget and cost efficiency by collaborating with Procurement Department and Facility Managers to review contract agreements.
- Manage financial objectives and transactions by monitoring annual budget, analyzing variances, and implementing corrective actions as needed.
- Establish and enforce corporate standards and procedures to ensure smooth daily office operations.
- Plan and implement office systems, layouts, and equipment procurement to maximize office space.
- Maintain a clean and organized work environment following 5S housekeeping principles.
- Coordinate with building management and contractors for office maintenance and services.
- Manage security measures, including card access systems and passes for office and Jurong Island pass.
- Collaborate with the Health Safety Environment Security Team to ensure safety measures and compliance.
- Process work passes and other related passes as needed, tracking quota and ensuring compliance.
- Work closely with HR teams on government authorities' related matters, surveys, reportings, and data provision.
- Conduct annual review and implementation of welfare programs and activities in collaboration with committees.
- Assist in logistics, coordination, and communication for company events, workshops, and announcements.
- Offer administrative support for onboarding and offboarding processes as needed.
- Maintain efficient reception, front desk services, and mail administration.
- Supervise corporate admin contractors and assign tasks to optimize productivity.
- Manage telecommunication issues to ensure efficient utilization and monitoring of charges across various sites.
- Handle ad-hoc administrative duties as required.
Requirements:
- Possesses Degree / Diploma in any discipline or Equivalent.
- Minimum 2 years of office administration experience
- Able to work in a fast pace and dynamic environment.
- Hands on experience and able to work with people across all levels
- Good interpersonal skills, positive and independent team player who performs under minimal supervision
- Occasionally required to work on weekends for office maintenance duties
- IT savvy and detailed oriented
