Administrative Assistant (Automotive/West/5D)

Reporting to the Fleet Operations Assistant Manager, you will assist in administrative matters, coordinate operations, maintain department documentation, and facilitate effective and efficient communication within the team and with external stakeholders.


Day to Day Activities

  • Conduct physical inventory checks and counts to ensure accurate inventory levels
  • Organise inventory in designated locations, ensuring proper storage conditions to prevent damage or deterioration
  • Assist in the enforcement of safety protocols and procedures to ensure a safe working environment for the team
  • Serve as a point of contact for internal and external inquiries related to fleet operation
  • Coordinate communications between the fleet operations team, ground operators, vendors, and other relevant parties
  • Provide our partners with timely upload of scheduled jobs without affecting users’ bookings
  • Coordinate with our partners on equipment installations and repairs of our vehicles, ensuring timely resolution of issues
  • Assist in managing the purchase, renewal, and season parking transfers for our fleet
  • Provide operational support to the fleet operations team as required by the team

Who We Are Looking For

  • Higher NITEC or Diploma in Business Administration, Logistics, Information Systems / Technology, Automotive / Mechanical Technology, Engineering, or equivalent
  • Highly motivated with a strong sense of discipline, working well under minimal supervision
  • Excellent communication and interpersonal skills
  • Familiar and comfortable working with MS Excel/Google Sheets
  • A valid Class 3 / 3A / 3C / 3CA licence will be advantageous
