Paralegal / Practice Assistant

Paralegal / Practice Assistant for a boutique law firm specialising in dispute resolution headed by a Senior Counsel. Candidate should preferably have a diploma in Law and Management and/or relevant experience in secretarial services for litigation.

We are currently seeking a motivated and experienced Paralegal / Practice Assistant to join our team and play a crucial role in supporting our lawyers.


Job Summary:

You will be responsible for providing administrative and litigation support to our lawyers. You should be able to work independently, manage multiple tasks efficiently, and have a strong understanding of legal terminology and procedures. You will also undertake some day-to-day administrative functions.


Key Responsibilities:

  • Conduct various searches such as business profile, people profile and cause book searches;
  • Court filings on the ICMS / e-Litigation platforms;
  • Support lawyers in hearing / trial preparation, including organizing exhibits and preparing trial binders;
  • File opening and billing / invoicing matters;
  • File and document management including managing calendars, scheduling appointments, printing and saving documents;
  • Handle phone calls, emails, and other communications;
  • Arranging for registered post and dispatches; and
  • Pantry and receptionist duties where required.

Qualifications:

  • Proven experience as a Paralegal / Practice Assistant or in a similar role within a reputable litigation firm.
  • Knowledge of legal terminology, procedures, and Court rules.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal software (e.g. Clio, Filevine).
  • Excellent organizational and multitasking skills with a keen attention to detail.
  • Ability to work independently with minimal supervision and prioritize tasks effectively.
  • High level of professionalism, integrity, and confidentiality.

Additional Qualities and Experience:

  • Certification in Legal Secretarial Studies or Paralegal Certification is a plus.
  • Experience with billing software and time tracking systems.
  • Familiarity with e-Litigation.
  • Problem-solving skills and a proactive approach to work.
