Admin Clerk for Purchasing Department

Job Summary

The Administrative Clerk provides support to the Purchasing department by performing a variety of clerical and administrative tasks. This role is crucial in ensuring the smooth operation of the department, assisting in documentation, communication, and organization.

Key Responsibilities

1. Maintain and update records, databases, and filing systems within the purchasing department.
2. Prepare, organize, and distribute purchase orders, invoices, and other related documents.
3. Answer and direct phone calls, emails, and other forms of communication.
4. Assist in coordinating meetings, appointments, and schedules for the purchasing team.
5. Handle administrative tasks such as photocopying, scanning, and data entry.
6. Monitor inventory levels and coordinate with the purchasing team to replenish stock as needed.
7. Assist in tracking the status of orders, deliveries, and payments.
8. Provide support for special projects and other administrative tasks as required.

Qualifications

1. High school diploma or equivalent; Associate's degree in business or related field preferred.
2. 1-2 years of experience in an administrative role, preferably within a purchasing or supply chain department.
3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
4. Strong organizational skills with attention to detail.
5. Excellent communication and interpersonal skills.
6. Ability to work independently and as part of a team.
