Executive Office Administrator

As an Executive Office Administrator, you will play a pivotal and overarching role in our organization and its affiliates, ensuring smooth administrative operations, managing office equipment, and facilitating seamless coordination with our global offices and teams. Located in the heart of Singapore's CBD, this position offers you a unique opportunity to contribute to various business areas at our boutique Asset Management firm.


Key Responsibilities

  • Provide administrative support to senior management and business teams
  • Support the Finance team in expense claims management
  • Support Corporate Secretarial (CorpSec) related administrative work
  • Support HR team in managing key personnel’s documents, working permit administrative matters, arranging interviews, and liaising with recruiters
  • Event organization and logistics management for internal & external events
  • Manage office equipment and supplies
  • Office vendor management and coordination
  • Foster effective communication and collaboration with global offices and teams
  • Execute day-to-day office administration tasks
  • Participate in, learn from, and contribute to diverse aspects of our business
  • Project coordination & management across regions & functions

Qualifications:

  • Bilingual proficiency in Chinese and English, with excellent written and verbal communication skills in both languages
  • Bachelor’s degree from reputable schools, ideally in Business Administration, Accounting, Information Management, or a related field
  • At least 2-5 years of relevant working experience
  • Proficiency in Administrative Assistance and Office Administration
  • Strong command of the Microsoft Office suite and Teams ecosystem
  • Impeccable organizational skills with a keen eye for detail
  • A passion for event organization
  • Willingness to travel internationally
  • Exceptional multitasking and time management abilities
  • Capacity to work independently and collaboratively as part of a team
  • Prior experience in the financial services industry or accounting is a plus
  • Experience and knowledge working with CorpSec provider is a plus
