Administrative Coordinator

Position Overview:
We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. The ideal candidate will be responsible for ensuring smooth operations by coordinating between various departments, managing order processing, and handling essential administrative tasks. This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving.

Key Responsibilities:

1. Order Processing & Delegation:

  • Manage the end-to-end order processing workflow, ensuring accuracy and timeliness.
  • Delegate tasks related to order processing to the respective departments (e.g., logistics, finance, and sales) to ensure orders are fulfilled efficiently.
  • Monitor order status and communicate any issues or delays to the relevant teams to ensure prompt resolution.

2. Inventory Management:

  • Oversee and manage inventory levels to ensure product availability aligns with customer demand.
  • Coordinate with the inventory team to track stock levels, reorder products as necessary, and prevent stock shortages or overages.
  • Maintain accurate records of inventory transactions, including stock adjustments, returns, and transfers.
  • Assist in conducting regular inventory audits to ensure accuracy and compliance with company policies.

3. Interdepartmental Liaison:

  • Serve as the primary point of contact between the sales team and other departments, including logistics, finance, and marketing, to facilitate smooth operations.
  • Ensure clear and effective communication between teams to enhance workflow efficiency and customer satisfaction.

4. Purchase Order Management:

  • Prepare and submit purchase orders as required by various departments.
  • Track and monitor the status of purchase orders to ensure timely processing and delivery.
  • Communicate with suppliers and vendors to resolve any issues related to purchase orders and maintain strong relationships.

5. Website Updates:

  • Assist in updating the company website with the latest product information, promotions, and other relevant content.
  • Ensure the website is current and accurately reflects the company's offerings.
  • Collaborate with the marketing team to align online content with ongoing campaigns and business strategies.

Qualifications:

  • Proven experience in an administrative, coordination, or order processing role.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and familiarity with content management systems (CMS) for website updates.
  • Knowledge of logistics, purchase order processes, compliance standards, and order processing.
