Job Description & Requirements
- Reporting to director/s and performing secretarial and administrative duties.
- Managing internal and external correspondence on behalf of director/s.
- Answering phone calls
- Monitoring director’s email and responding if required
- Draft correspondence such as emails and letters
- Preparing communications on behalf of a manager
- Coordinate events and speaking engagements
- Conducting background research and producing reports, briefing papers, and documents
- Organising and planning meetings
- Schedule meetings and manage calendars
- Take accurate and comprehensive notes at meetings
- Plan travel, including flights, accommodation, and ground transportation
- Run errands as requested
- Various ad hoc requests
Who are we looking for
- Proficient in both English and Chinese as the point of contact between the CEO and stakeholders
- Flexible and open to take on wide varieties of work
- Always take initiatives to find solutions and exceptional problem solving acumen
- Excellent minute-taking and report-writing skills and highly organized with great attention to details
- Strong communication and interpersonal skills
- Expertise in using MS office suite for documentation preparation
- Able to travel when it is necessary
Qualifications
- Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Communication skills, written/verbal
- Ability to prioritize and meet deadlines Keep information confidential
- 2 – 3 years of relevant working experience
