Duties and Responsibilities:
1. Payroll Processing:
- Accurate Payroll Management: Ensure the accurate calculation and timely distribution of employee wages, salaries, bonuses, and commissions.
- Deductions and Benefits Management: Process statutory deductions such as taxes, social security, insurance premiums, retirement contributions, and other withholdings.
- Payroll Reporting: Generate payroll reports for management, auditing purposes, and regulatory compliance.
- Compliance with Tax Laws: Ensure payroll practices are compliant with local tax laws, labor laws, and employment regulations.
- Maintain Payroll Records: Maintain up-to-date payroll records, including timesheets, leave balances, and employee payment details.
- Payroll Queries: Address and resolve employee payroll-related inquiries or discrepancies.
- Onboarding/Offboarding: Assist in onboarding new employees by setting up payroll accounts and conducting exit procedures to finalize payroll for departing employees.
- Confidentiality: Maintain the confidentiality of sensitive financial and employee information at all times.
2. Accounting Duties:
- Bookkeeping: Record and maintain financial transactions, such as sales, purchases, and payments, in the accounting software.
- Accounts Payable and Receivable: Manage invoices and bills, track payments, and follow up on overdue payments from customers. Also, ensure timely payment of vendor invoices.
- Bank Reconciliations: Reconcile bank statements with accounting records to ensure accuracy and consistency.
- General Ledger Maintenance: Update and maintain the general ledger and assist in month-end closing processes.
- Financial Reporting: Prepare financial statements such as balance sheets, profit and loss accounts, and cash flow statements for review by senior management.
- Expense Tracking: Monitor and track company expenses and assist with budget preparation
- Audit Support: Prepare documents and reports for internal or external auditors during audits, particularly focusing on payroll and accounts.
- Tax Filings: Assist with the preparation and submission of tax returns, including payroll taxes, income taxes, and other applicable filings.
