Logistics and Operations Manager

The Logistics and Operations Manager is responsible for overseeing and managing logistics for the facilities operations, maintaining equipment, managing vehicles, and handling warehouse operations. This role also involves client escalation management and general administrative tasks. The manager will ensure efficient operations, adherence to safety and cleanliness standards, and effective resolution of client issues.


Key Responsibilities:

Facility Operations:

  • Team Management: Lead and plan logistics team facility operations, including manpower deployment and daily check on packaged product expiry.
  • Delivery Planning: Prepare and manage delivery plans, coordinate with external customers for stock requirements, and handle the replacement of missing or spoilt items.
  • Schedule Management: Prepare delivery schedules and coordinate with Chefs/Bakers for food preparation timing.
  • Food Quality Assurance: Ensure drivers collect the correct food, maintain food freshness above 60°C, and enforce Food Safety Management Services (FSMS).
  • Financial Oversight: Ensure drivers drop off cash daily.

Facility Maintenance:

  • Daily Checks: Conduct regular checks on factory cleanliness and maintenance.
  • Maintenance Coordination: Appoint and liaise with maintenance teams, building management, and outsourced pest control services. Manage routine cleaning and audits with NEA and AVA.
  • Equipment Management: Track equipment defects, plan for regular servicing, and ensure walk-in chillers are clean and operational.

Vehicle Fleet Management:

  • Fleet Oversight: Ensure vehicles are in good condition, serviced regularly, and cleaned.
  • Leasing and Purchases: Liaise with leasing companies, manage vehicle purchases, and coordinate with company workshops.
  • Administrative Tasks: Track road tax, insurance, repair history, and reserve lots for container shipments.

Warehouse Operations:

  • Planning and Layout: Plan warehouse space, layout restructuring, and continuous improvement processes (CIP).
  • Daily Operations: Allocate manpower for unloading containers, assembling furniture, and maintaining cleanliness.
  • Inventory Management: Handle warehouse and inventory operations effectively.

Client Escalations –Operations:

  • Feedback Management: Respond to customer feedback and complaints, provide solutions, and follow up with clients.
  • Service Recovery: Plan and implement service recovery strategies as needed.

Administrative Duties:

  • SOP Development: Develop and propose Standard Operating Procedures (SOPs).
  • Team Administration: Approve and track leaves/MCs for the logistics team, verify monthly payroll, and assist with ISO, AVA, NEA renewals, and equipment calibration.
  • Inventory and Production: Maintain inventory records, ensure chillers’ temperatures are recorded daily, conduct weekly meetings, and review job flows for efficiency.

Qualifications:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Proven experience in logistics management, team leadership, and operations.
  • Strong organizational and multitasking skills.
  • Excellent problem-solving abilities and customer service skills.
  • Proficiency in Microsoft Office Suite and relevant logistics software.
  • Familiarity with food safety standards and factory maintenance.
  • A valid Class 3 driving license is required

Skills and Competencies:

  • Effective leadership and team management skills.
  • Strong communication and coordination abilities.
  • Knowledge of warehouse management and inventory control.
  • Ability to handle client escalations and provide effective solutions.
  • Detail-oriented with strong organizational skills.

Additional Information:

  • This role may require occasional evening or weekend work to meet operational needs.
  • Candidates must be adaptable to a dynamic work environment and handle ad-hoc duties as required.
