Responsibilities
Financial Management and Reporting:
- Collaborate with platform leads and management partners to oversee and report on Build and Operate financials.
- Support the allocation of development efforts to projects.
- Work with managers to forecast resource supply and demand.
- Extract and prepare timesheet reports for review.
- Monitor monthly charges against approved budgets and address discrepancies with Project Managers and Team Leads.
- Provide documentation to the Finance Fixed Asset team for capital expense allocation.
Contract Management:
- Ensure contracts are processed promptly and correctly, with all necessary approvals.
- Create Purchase Requisitions (PR) in Coupa to facilitate Purchase Order (PO) issuance.
- Coordinate with internal and external stakeholders to resolve issues with pending contracts.
- Review contracts to ensure compliance with guidelines and standards.
- Follow up with internal stakeholders if Delegate of Authority (DOA) approvals are delayed.
- Ensure all contracts are processed within budget and categorized correctly to prevent payment reclassification.
- Manage Contract Management Process (CMP) for contracts exceeding $200K (including GST).
- Track and manage Master Service Agreement (MSA) renewals.
Support and Advisory:
- Assist Work Managers with project documentation, processes, and reporting, particularly using the GENE system.
- Update project financials, documentation, and statuses in GENE.
- Submit contracts to Group Procurement Services (GPS) and manage the lodgment process.
- Track and submit accruals to Finance, ensuring all are supported by valid documentation.
- Prepare and submit reports for management review of Major Projects/Programs, ensuring accuracy and up-to-date information.
Additional Duties:
- Assist with Build and Operate budget submissions and review submission completeness during the annual budget process.
- Support monthly GLAO (General Ledger Account Operations) reconciliation.
- Aid in Strategy Cost Management (SCM) tracking and reporting.
Requirements
- Bachelor’s degree in Project Management, Business Administration, or a related field.
- Extensive experience in project management, with a minimum of 2 years in a PMO or similar role.
- Proven track record in developing and implementing project management processes and methodologies.
- In-depth knowledge of project management principles and tools.
- Excellent analytical, problem-solving, and communication skills.
- Collaborative team player with strong leadership and decision-making skills.
- Understanding of industry standards and regulations relevant to project management.
