Job Title: F&B Admin Support

Location: 10 Buangkok View, Singapore 539747 (Institute of Mental Health campus)

Working Hours:

  • Monday – Friday: 8 AM to 5 PM
  • Saturday: 8 AM to 12 PM
  • May be required to work on weekends and Public Holidays if operational needs arise.

Job Description:

Administrative Management:

  • Prepare the monthly timesheet for staff and beneficiaries.
  • Coordinate interviews and intake assessments for clients referred by our partners.
  • Maintain records for F&B purchases and invoicing.
  • Prepare signage (e.g., food tags) for events.
  • Create delivery orders and manage the corresponding filing processes.
  • Ensure the maintenance of a proper filing system and accurate record-keeping for clients.
  • Update personal files of team members and beneficiaries, including leave tracking, public holidays, food hygiene certifications, and confidential documents.
  • Draft correspondence, reports, and meeting notes as required.

Staff/Beneficiary Management:

  • Ensure all incoming employees comply with company policies.
  • Promote and maintain a positive working environment that fosters collaboration and productivity.

Inventory and Cost Management:

  • Support the Chef in estimating consumption, forecasting requirements, and manually monitoring inventory.
  • Assist in cost control efforts and minimizing waste, ensuring optimal use of resources.

Halal Certification Maintenance:

  • Serve as the Halal Team Lead, responsible for the ongoing maintenance and renewal of the Halal certification.
  • Participate in the Halal Competency Assessment (HCA) as needed, ensuring full compliance with Halal standards across the team.
  • Certification in the Halal Competency Assessment (HCA) is preferred but not required.

Safety and Compliance:

  • Act as the representative for workplace safety and health, ensuring adherence to safe management measures, protection for toxic plume scenarios, and fire safety regulations.

Job Requirements:

  • Proficiency in MS Office, particularly Excel.
  • Strong interpersonal and communication skills.
  • Ability to work both independently and as part of a team.
  • Patience and passion for working with people with disabilities and the disadvantaged.
  • Experience or certification in Halal Competency Assessment (HCA) will be an advantage.
