Administrative and Operation Assistant (contract)

Apsn Education Services Ltd.

Key Accountabilities/Responsibilities


1. Document Management:

a) Scan and categorise important documents as part of the digitization process.

b) Ensure accurate labelling and filing of electronic files for easy access and retrieval.

c) Maintain confidentiality and security of all documents.


2. Disposal and Decluttering:

a) Identify materials that are no longer needed and prepare them for disposal according to school policies.

b) Coordinate with disposal services for the secure destruction of sensitive documents and the responsible disposal of non-essential items.


3. Stocktaking and Inventory Management:

a) Conduct a thorough inventory of physical assets, including furniture, equipment, and supplies.

b) Update the asset list with accurate information regarding item status and location.

c) Assist in the preparation of items for relocation, including labeling, packing, and cataloguing.


4. Operational Support:

a) Assist in the planning and execution of move schedules, ensuring minimal disruption to ongoing operations.

b) Support logistical arrangements for the physical move, including coordination with moving companies, and setup at the new campus.


5. Administrative Support:

a) Provide clerical support to ensure operational continuity during the transition phase.

b) Manage emails, answer phone calls, and perform other administrative tasks as needed to support the transition.


6. AOB:

a) Perform additional duties as needed to support the transition objectives and timelines.


Job Requirements


1. Certificate/GCE ‘A’ Level/Diploma in Business Studies/Management from recognized institutions

2. Minimum 1 to 2 years related working experience.

3. Project Management Skill

· Prior experience with relocation of school will be an added advantage

4. Communication Skills

· Good command of language

5. Teamwork and Collaboration

6. Adaptability and Flexibility

· Excellent organisational skills with the ability to manage multiple tasks and priorities effectively.

7. Technical and Digital Literacy

· Strong competency in Microsoft Office applications.
