Front Desk & Customer Liaison Assistance

Position

Frontdesk Officer/Customer Support Officer

Organisational Responsibilities

Reports to CIC, Operations & Customer Support

Functional Responsibilites

Front Desk

(1) - Responsible for the day to day reception service of the centre

v Greeting Clients

v Receiving Guest

v Offering Refreshments

(2) - Ensure the basic cleanliness and always keep reception neat &

tidy.

Mail/Couriers Handling

(3) - Handle all incoming & outgoing mails/couriers/articles for

v SO Clients

o Ensure delivery of mails to Client’s Office

v Self Collections Clients

o Stamp on every mails received with “Date Stamp”

o Record all incoming mails

o Informed clients through emails

v Redirections Clients

o Stamp on every mails received with “Date Stamp”

o Record all incoming mails

o Record all stamp and envelopes usage in excel spreadsheet.

o Charged all stamp and envelopes usage in Data Manager.

(4) - Notify all Virtual Office clients/Serviced Office clients of

registered mails/couriers and hand-delivered articles.

Conferences Room Management

(7) - Handle all booking/reservation of meeting room/boardroom,

equipments and refreshments.

(8) - Serve drinks for clients if Aunty is not available

(9) - Ensure all stationery is in sufficient and adequate stock.

Customer Support/Liaison

(8) - Input all clients’ database

(9) - Management of clients movement like Medical leave/meetings

/outstation etc on calendar.

(10) - Input of miscellaneous charges to clients

v Conference Usage

v Service Order

v Bar Charges

v Secretarial Support like photocopy/printing/fax/scanning.

v Local Couriers

(11) - Clients’ liaison, e.g: updating of clients’ staff, address,

termination, clients’ enquiries etc.

(12) - Collection of payment like cheque/cash/credit cards.

(13) - Handle incoming and outgoing faxes.

(14) - All secretarial support for Serviced/Virtual Office Clients

(15) - Assist in organizing activities or programme that maintain

customer relations like clients’ birthday & other festivals or

occasions with corporate admin staff & HOD, Operations

Operations - Centre Management

(16) - Patching of Telephone Lines

(17) - Management of LAN/Tel Ports

(18) - All office equipments like copiers/shredding machines /fax

machine management.

(19) - Filing of all Operations-related documents, and clients’

information and correspondence.

(20) - Management of door access.

(21) - All other jobs that are assigned by the Director.

(22) - Required to exemplify the qualities of a good worker,

communicator and a diligent worker.

Call Centre Back Up

- Handles all incoming calls for clients

- Take messages and relayed to clients

- Transfer calls if necessary

- Updating of call center instructions to the call center management system.

Assist Operations HOD

- All setting out matters

- Inventory List

- Liaison with suppliers pertaining to renovations only

Assist Sales HOD

- Setting up showroom like moving furnitures etc

- Attending to Sales Enquiries
