Roles & Responsibilities:

The successful candidate will help to ensure a pleasant, efficient and well-kept environment that is conducive for staff to give their best work and projects a welcoming ambience to visitors.

He/she will be carry out first line troubleshooting of facilities before activating the appropriate appointed service providers to rectify issues that may arise.

Office upkeep (Across Zones)

  • Maintain and upkeep office space and facilities and serve as liaison with vendors/service providers/ building management team for facilities work maintenance. This may include supervision of cleaner/cleaning vendor and a/c maintenance contractor, pest control etc.
  • Monitor office equipment and other service/ maintenance contracts and handle contract renewals including drafting simple approval papers.
  • Purchase and replenish stationery and other supplies.
  • Assist with room setup for senior management meetings and board events.
  • Enforcing protocols (sending reminders to users as needed to tidy up after use and restoring setup) of meeting rooms, pantry and other shared spaces.

Visitor & Guest Reception

  • Opening/Closing of main entrance door and shutters.
  • Receiving and responding to enquiries from guests, visitors, candidates, and colleagues from other locations.
  • Receiving incoming phone calls.
  • Facilitate receiving/pick-up of delivery, mail etc.

Staff wellness (All staff in ISC235)

  • Restocking of basic pantry supplies.
  • Organize monthly healthy eating days and/or other activities that support the wellness of staff.
  • Support social and staff engagement events such as refreshment ordering, logistics coordination as required.

Other Administrative Duties

  • Ordering get-well/congratulatory/condolence items.
  • Raise purchase in system.
  • Validate invoices and organize payment.
  • Ensure proper record keeping as require by audit guidelines.
  • Any other ad hoc admin duties as delegated by management.

Candidate Profile:

  • 3 years in similar office/admin/facility roles.
  • Minimum ITE/Polytechnic Diploma.
  • Able to communicate effectively (written and verbal).
  • Organized and detailed.
  • Familiar with MS Office tools.
