Summary
Roles at this level provide professional advice and/or support, directly or indirectly to team, based upon a full understanding of a technical, professional, or specialised field.
They plan and ensure progress within established procedures and clearly defined Company policy. They are expected to identify gaps in information and, conduct analyses to solve/resolve problems and issues with short-term consequences. They put forward recommendations on managing more complex situations.
Individuals are responsible for planning and organising their own work and/or that of a team of colleagues, who may be involved in different types of work. There is a need for liaison and the co-ordination of activities across several subsections of the Company. The work involves encountering changing priorities and differing situation.
Principal Accountabilities:
- Maintain the relationship between Building Management, Interior Design company and the Business, raising any building issues to the Interior Designer or Building Management as appropriate.
- Maintain relationship and escalate any feedback or issues with premises suppliers and providers such as Pest Control, Cleaning company and Plants/landscaping.
- Requisition, Procurement and monitoring of Office and Pantry supplies including name card and IT equipment ordering
- Assist with, supervise and monitor the daily scanning of all incoming mails, with saving of scans and notifying internal and external stakeholders according to internal processes. (Including collection of mails from the Postbox and monthly/quarterly mail redirection services)
- To participate in weekly or ad hoc Post office or bank runs when required
- Supervise and oversee the running of the reception area and Front Desk team and partake in Reception duties as and when required.
- Assist the Marketing Manager in preparing office facilities where client events are held onsite
- Assist with Asia Operations initiatives.
- Strive to look for and take ownership of business and process improvements relating to physical documentation and offsite storage
- Assist with Asia Operations initiatives.
- Mentor and train Receptionist/Front Desk and other Business Support Team colleagues with their tasks and personal development

Skills Required:
- Preferably at least 2 years of experience in an administrative or supervisory role.
- Diploma holder in any relevant field.
- Good knowledge and application of Microsoft Office
