Role Responsibilities:
- Calendar Management: Manage the Deputy General Manager’s calendar, scheduling meetings, appointments, and travel arrangements, ensuring efficient time management.
- Communication: Serve as the primary point of contact for internal and external communications on behalf of the Deputy General Manager, including handling correspondence, emails, and phone calls.
- Meeting Coordination: Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Document Management: Prepare, review, and distribute documents, reports, and presentations for the Deputy General Manager.
- Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and transportation for the Deputy General Manager.
- Expense Management: Track and manage expense reports and budgets related to executive activities.
- Project Support: Assist with special projects and initiatives as directed by the Deputy General Manager, ensuring timely and successful completion.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
- Relationship Management: Build and maintain positive relationships with internal and external stakeholders, acting as a liaison on behalf of the Deputy General Manager.
- Office Coordination: Support the overall administration of the executive office, ensuring an organized and efficient working environment.
Role Requirements:
- Extensive experience as an executive assistant or in a similar administrative role.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Fluency in Mandarin and English (spoken and written) to communicate with stakeholders.
- High degree of accuracy and attention to detail.
- Ability to handle multiple tasks and prioritize effectively.
- Strong problem-solving and decision-making skills.
- Ability to work independently and as part of a team.
- Experience in managing confidential and sensitive information.
- Knowledge of travel planning and expense management.
