Patient Service Associate (PSA) - Outram | Office hour

Our client is the world's largest integrated provider of products and services for individuals undergoing dialysis.


Responsibilities:
Frontline Patient Services and Administrative Duties:

  • Provide frontline patient services and non-clinical administrative support to Clinic and HQ personnel.

Billing:

  • Ensure daily posting, claim receipts posting, and receipt updates in a timely manner.
  • Complete billing for each patient (including various fees like treatment, admin/service fees, and ad hoc charges) after each treatment daily.
  • Collect payments from patients promptly for treatments and services rendered.
  • Follow up and update funding bodies (long-term and short-term) and notify both internal and external customers in a timely manner.
  • Assist Accounts Receivables personnel in notifying or updating patients and arranging payments for any delinquent accounts.

Patient Registration:

  • Register new patients and inform them or their designated caregivers about necessary details (e.g., clinic location, HD slot allocation, price per treatment, required documents for registration or subsequent sessions).

Financial Counseling:

  • Conduct financial counseling or re-counseling for new or existing patients, ensuring all required documents are collected and submitted on time.
  • Assist patients in checking their Medisave balance and insurance schemes.
  • Verify patient Medisave Authorization forms and relevant insurance forms, obtaining pre-authorization when required.

Cash Collections & Management:

  • Ensure accurate and prompt calculation and collection of treatment and service fees.
  • Reconcile and tally daily collections and entries correctly.
  • Manage petty cash, including issuing reimbursements and maintaining accurate transaction records.
  • Bank cash weekly or when collections reach S$1,000 (whichever comes first).

Claim Submission:

  • Prepare and submit monthly summaries and invoices for Medisave, Medishield, NKF/MSW, and CSC.
  • Ensure tax invoices for hospital Medical Social Work (MSW) funding are posted timely.
  • Monitor and follow up on claim submissions to ensure reimbursement.
  • Coordinate with Finance to issue monthly cheques to patients.

Stock Management:

  • Place orders for clinical consumables and follow up with suppliers.
  • Coordinate with stock in-charge for stock count and weekly orders.
  • Ensure timely and accurate monthly inventory stock closing.

Reporting:

  • Update the center movement chart on patient status weekly and submit it to HQ.
  • Ensure timely and accurate updates of daily end-of-day reports and submit them monthly.

Customer Service and Administrative Support:

  • Answer phone calls within 3 rings, providing accurate information or forwarding calls appropriately.
  • Provide ad-hoc frontline support for patients or caregivers, including booking transport.
  • Assist Nurse Manager/Assistant Nurse Manager in coordinating patient appointment bookings and inquiries about holiday dialysis.
  • Maintain updated patient particulars at all times.
  • Check and respond to emails promptly.
  • Collect, sort, and route mail appropriately from the post box daily.
  • Assist the Operations team with clerical work as needed.

Requirement:

  • Minimum ITE graduates.
  • 'O' level graduates with relevant work experience, transferable skills, and a positive attitude will also be considered.
  • Prior experience in clinics, hospitals, or healthcare is an advantage.
  • Attention to detail with numbers and experience in Excel and SAP is preferred.
  • Strong interpersonal and communication skills.
  • Inventory experience is desirable.
  • Team player with the ability to multitask.
  • Patient, responsible, reliable, and diligent.
  • Able to work in a fast-paced environment.
