Job Summary:

We are seeking a highly skilled and experienced Administrative Manager to join our esteemed Maid Agency. As an Administrative Manager, you will be responsible for overseeing the day-to-day administrative operations of our agency, ensuring smooth workflow, and providing exceptional customer service to both our clients and our domestic helpers. You will also act as our official translator for Indonesian maids. This is an exciting opportunity to contribute to the growth and success of our agency while making a positive impact on the lives of families and domestic helpers.

Responsibilities:

  1. Manage and supervise a team of administrative and sales staff, providing guidance, support, and training as needed.
  2. Oversee the agency's administrative and sales operations, including processing employment contracts, work permit applications, insurance claims, biodatas creation and other related paperwork.
  3. Maintain accurate and up-to-date records of client and domestic helper information using our agency's database system.
  4. Coordinate and schedule interviews, medical check-ups, and SIP sessions for domestic helpers.
  5. Liaise with clients, domestic helpers, and relevant government agencies to ensure compliance with regulations and smooth communication.
  6. Resolve customer complaints or concerns promptly and professionally, maintaining high levels of customer satisfaction.
  7. Develop and implement efficient administrative procedures to streamline workflow and improve overall agency efficiency.
  8. Stay updated on the latest industry regulations and policies to ensure compliance and provide accurate information to clients and domestic helpers.
  9. Counselling of Indonesian maids if they face difficulties adapting to Singapore households.
  10. Act as translator for Indonesian maids if they have difficulties in communication with their Employers

Qualifications:

  1. Minimum Diploma or Bachelor's degree in Business Administration or a related field.
  2. Proven experience in administrative management, preferably in the maid agency industry or a related field.
  3. Familiarity with Singapore's regulations and processes related to domestic helpers' employment and work permits.
  4. Strong leadership skills with the ability to motivate and guide a team effectively.
  5. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  6. Exceptional interpersonal and communication skills to interact with clients, domestic helpers, and government agencies.
  7. Proficient in using office software, including Microsoft Office Suite and database systems.
  8. Detail-oriented with a high level of accuracy in record-keeping and data management.
  9. Ability to handle confidential information with discretion and maintain strict confidentiality.
  10. Conversant with Indonesian language is a requirement
