Position Overview:
We are seeking a highly organized and versatile Administrative Coordinator to join our team. This role will be responsible for managing and coordinating a wide range of administrative, financial, and human resources tasks to ensure the smooth and efficient operation of our office. The ideal candidate will have excellent multitasking abilities, strong attention to detail, and the capacity to handle sensitive information with discretion. Proficiency in both Chinese and English is required.
Key Responsibilities:
Administrative Duties: (40%)
- Manage day-to-day office operations, including maintaining office supplies.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Organize and maintain physical and digital files and records.
Finance Duties: (40%)
- Process and record accounts payable and receivable transactions.
- Reconcile bank statements and manage petty cash.
- Prepare and process payroll, ensuring accuracy and compliance.
- Monitor and manage expense reports and reimbursements.
- Liaise with external accountants and auditors as needed.
Human Resources Duties: (20%)
- Maintain employee records and ensure compliance with HR policies and regulations.
- Handle employee inquiries and provide support on HR-related matters.
- Monitor and manage employee attendance, leave records, and benefits administration.
Qualifications:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills in both Chinese and English.
