Lead/Assistant Manager (Research Development Office), SIMTech

Student Officer

  • Point of contact for general enquiries from S&A staff, ASTAR Graduate Academy and Institutes of Higher Learning Institutes. Inclusive of coordinating for internship project proposals submissions and other administrative matters.
  • Update and maintain S&A student database
  • Facilitate approval from management for research student’s conference applications, thesis- and supervisor-related matters, and other student-related matters.
  • Liaise with other departments within the institutes for student onboarding and exit.
  • Provide any ad-hoc data request

ODE

  • Facilitate all new S&A hires and students onboarding and relevant area.
  • Plan and execute induction programmes for all new S&A hires and students
  • Coordinate and Lead Learning Journeys and Career Fairs to local polytechnics and universities
  • Tracking internship budget utilisation
  • Automation for internal processes

Admin

  • Coordinate external and internal meetings and manage calendar for RDO management
  • Coordinate and schedule meetings for CFRC, TDRC, IP Briefing and any other RDO workshops/clinics.
  • Data entry and compilation of information regarding research collaborations, agreements, business visits, fellows, joint appointments, awards received by staff and other research documentations.
  • Raise and verify ePRs purchases made by RDO
  • Monitor RDO admin mailboxes
  • Digitalisation of past TD and project documents
  • Record, issue, collect, safekeep, digitalize and order laboratory notebooks for researchers and technical staff
  • Provide logistics support for hosting visits, which include but not limited to securing and preparing meeting room, laptop, AV, name tent, refreshments and reserved carpark. Liaise with receptionist to pre-register visitors and prepare visitor passes.

Others

  • Cover Receptionist at CT2B during lunch period and off days on rotation basis
  • Support any other S&A events and visits as required

Job Requirements

  • Diploma or Degree in related field
  • Minimum 2 years of relevant experience in administrative support related work
  • Skilled in utilising Microsoft Power automate, Power BI for digitalisation
  • Able to breakdown the assigned work into deliverable tasks and provide realistic timeline for their completion
  • Demonstrated excellent verbal communication skills
  • Competency in Microsoft Excel and PowerPoint
  • A self-driven and meticulous individual who has a strong ability to multi-task and manage projects
