Job Purpose
The Administrative Assistant is to underpin the efficient functioning of the Home Healthcare Team by handling a wide range of administrative tasks. This role involves maintaining and verifying records, coordinating meetings and being the point of liaison with internal and external stakeholders. The administrative assistant also provides vital support to the main team, ensuring that day-to-day operations run smoothly through logistics support and operations assistance.
Responsibilities:
1. Administrative Duties:
- Administration for Staff Onboarding.
- Organizing and scheduling appointments and meetings.
- Processing reimbursements, claims and other financial transactions.
- Preparing meeting agendas, taking minutes and distributing meeting notes.
2. Office Supplies and Management:
- Managing office supplies and equipment.
- Managing logistics supply and equipment (including stock-taking).
- Carrying out procurement processes.
3. Support to Executives:
- Extracting and maintaining data.
- Carrying out routine operations processes.
- Assisting with project coordination.
4. Miscellaneous:
- Any ad hoc duties assigned.
Requirements:
- Diploma in any specialization, preferably business administration.
- Minimum 5 years of experience as an Administrative Assistant, Virtual Assistant or Patient Service Associate.
- Familiar with SAP System.
- Familiar with Microsoft Office tools (Word and Excel in particular).
- Experience in healthcare or community care setting will be advantageous.
