The Job


A. Office Premises Planning and Fit-Out

· Involve and facilitate corporate office space planning, including implementation of workplace transformation strategy for corporate office with Group Human Capital (GHC) and application of workplace playbook to new premise locations.

· Support GHC and business units’ headcount movements to ensure physical corporate office premises and facilities are sufficient to cater for GE’s business needs and requirements for space expansion.

· Liaise with business units on premises requirements including renovations and re-stacking (where applicable); procurement and engagement of service providers to execute necessary fit-out/reinstatement works; keep track and ensure works are properly coordinated and completed within budget and deadlines.

· Establish approved standards for corporate office provisions; ensure such standards are clearly communicated to the business units and executed accordingly.


B. Facility and Contracts Management

· Oversee internal Facilities Management staff and manage external Integrated Facilities Management (IFM) service provider(s); liaise and coordinate with other business support units such as Group IT, etc. when required.

· Oversee BCM planning for the department and involve in BCP, and other industry wide exercises conducted by Group Operations or Group Risk Management.

· Oversee and manage the maintenance and upgrading of all facilities and equipment necessary to support GE’s office premises, including Access Card system, CCTV system, generator set, auxiliary air-conditioning system, air-cleaners, water dispensers, etc.; put in place sustainable and energy/water conservation practices.

· Oversee and manage all term contracts/license and ad-hoc works necessary to maintain GE’s office premises, e.g. cleaning, pest control, LEW, etc. ensuring contract/license renewals are completed prior to expiry and costs are managed.

· Oversee and monitor maintenance feedback and complaints are attended pro-actively by FM/IFM team(s) and maintaining service levels to ensure overall positive Workplace experience for staff and occupants.

· Manage the review and procurement of IFM Services and Café Services for GE’s office premises.


C. Physical Security Management

· Oversee and manage various aspects of physical security including management of access card systems and CCTV monitoring systems across all GE properties.

· Consolidate a physical security management document for GE; review and update related SOPs and internal workflows regularly to ensure physical security controls are effectively managed.

· Establish clear work process and workflow communication between up-stream GHC/business units and down-stream service providers (e.g. MCST 2781, managing agents, IFM teams) to ensure programming of staff passes for new joiners, resigned staff, contract staff, etc. are carried out timely and correctly.


D. Annual Business Plan / Budgeting

· Involve in the annual business plan exercise and ensure necessary budget provisions are made for all corporate office operations and maintenance expenses, as well as Capex provisions for any renovations/re-stacking projects.

· If necessary, to work with business units to include budget provisions for premise related upgrading/replacement works, e.g. Customer Service, Training Centre, etc.


E. Others

· Any other duties that may be required or assigned by HOD.


Our Requirements

· Diploma/degree holder with at least 5-8 years relevant experience;

· Meticulous and systematic, with ability to multi-task;

· Able to work independently and as a team player;

· Good written and verbal communication skills;

· Good computing and Microsoft Office skills; and

· Good interpersonal skills, positive work attitude and keenness to learn.

· High level of integrity, takes accountability of work and good attitude over teamwork.

· Takes initiative to improve current state of things and adaptable to embrace new changes.
